Send review alerts and replies by email

Use an individual or shared inbox to follow reviews from an app or a Google Business Profile location you manage. Start with review alerts, then enable replies when the source account and team are ready.

Follow these steps

Complete the workflow, then verify it

  1. 1

    Choose the source

Create a new Review alerts Flow and choose the app, podcast, or managed business location you want to monitor. Confirm the exact listing before continuing.

  2. 2

    Connect an email destination

Select Email as the destination. Connect the intended email address or select an existing connection in your workspace. Complete any confirmation requested by the dashboard.

  3. 3

    Choose reviews and check delivery

Set the rating filter and available country or language options. Turn on the Flow and check the setup email in the destination inbox. Check spam filtering if it is missing.

  4. 4

    Enable replies if needed

On an eligible App Store, Google Play, or Google Business Flow, connect the authorized source account and enable Reply-to-Review. Check its verification status before replying. The add-on costs $10/month per enabled Flow, billed annually, in addition to monitoring.

How to send a public reply

Open a review email delivered by a reply-enabled Flow and use your email client’s Reply action. Keep its original reply address. Write only the response you want published, removing signatures, quoted history, and private customer details.

Check the response before sending. Sending the email submits it to the review platform; there is no additional approval screen. ReviewBot emails the result. A submitted response can still be pending moderation.

Do not forward the reply address to people who should not be able to respond. If you only want to discuss a review internally, start a separate internal email instead of replying to the ReviewBot address.

Google reviews with an existing response

ReviewBot leaves an existing Google reply intact. Edit it in Google Business Profile. New eligible responses may be reviewed by Google before they appear publicly.

Quick checklist

  • ✓The Flow points to the intended inbox.
  • ✓A setup message reached that inbox.
  • ✓Replies, if needed, are enabled and the source account is verified.
  • ✓Everyone with inbox access understands that sending a reply submits a public response.

If something does not work

The setup email is missing+

Check the destination address, spam folder, and your organization’s email filters. Confirm that the Flow and ReviewBot trial or plan are active.

A reply failed+

Read the failure email, check the Flow’s reply setup and source permissions, and correct the reported issue. Do not repeatedly resend an identical response without checking the result.

My old alert does not support replies+

Use a review email generated by the reply-enabled Flow. Enabling the add-on does not change the reply address of emails already delivered.

Frequently asked questions

Can I use a shared inbox?+

Yes. Limit access to the people who should see or answer those reviews. Anyone sending from a reply-enabled workflow should understand it submits a public response.

Can I answer Apple Podcasts reviews?+

No. This reply workflow supports eligible App Store, Google Play, and Google Business Profile reviews.

Can I get scheduled app reports?+

Yes, through a separate app report Flow. Monthly reports are available with the base Flow; weekly reports are an add-on. Google Business Profile supports review alerts, not scheduled rating reports.
